Cancellation, Refund & Booking Policy

At SANCHARI, we aim to be fully transparent regarding our booking, cancellation, and refund procedures. Because our trips involve advance reservations for private transportation, homestay rooms, local certified guides, and forest entry permits, all cancellations and refund requests are governed by the operational schedule outlined below.

1.Cancellation Schedule & Refund Eligibility

The exact cancellation timeline determines refund eligibility based on the time remaining before the scheduled departure:

Cancellations requested more than 48 hours prior to scheduled departure are eligible for a refund of the booking amount after deduction of a 10% cancellation charge to cover administrative and banking costs. Refund is issued to the original payment method.

Cancellations made within 48 hours of the scheduled departure time are strictly non-refundable. At this stage, transport seats, private vehicles, homestay allocations, and forest department permits have been fully confirmed and locked.

Departure Day & After Arrival

No cancellation or refund applies on the day of departure. Furthermore, once a participant has reached the pickup point, resort, property, event location, or destination, no cancellation, refund, or rescheduling request will be accepted, regardless of activity participation.

Critical Arrival Policy

Once a participant reaches the pickup point, resort, property, event location, or destination, no cancellation, refund, or rescheduling request will be accepted under any circumstances, regardless of whether the participant utilizes specific activities, rooms, or meals.

2.Booking Transfer Policy

2.1 Advance Request: If an unforeseen circumstance prevents you from traveling, a confirmed booking may be transferred to another eligible individual, provided the request is submitted at least 48 hours before the scheduled departure time.

2.2 Approval & Restrictions: Booking transfers are subject to availability, administrative review, and any statutory regulations (such as forest permit transfers or airline/train partner restrictions where non-transferable permits apply). A booking transfer is not automatically guaranteed and may involve administrative re-issuance fees where third-party permit regulations apply.

2.3 Information Required: The transferring traveler must provide the replacement traveler's full name, mobile number, email address, and valid government ID proof to finalize the transfer.

3.Refund Processing & Timelines

3.1 Processing Timeline: Once a cancellation request is reviewed and officially approved as eligible, SANCHARI will initiate the eligible refund to the original payment method within 7 working days from the date of refund approval.

3.2 Original Payment Method: Refunds are strictly credited back to the original source used at the time of booking (e.g., original UPI ID, credit/debit card, or bank account). We do not issue cash refunds.

3.3 Bank Reflection Timing: The 7 working days timeline refers strictly to SANCHARI's processing and fund release window. The customer's bank, card issuer, or payment provider may require additional business days to settle and reflect the credited funds in the customer's account statement. SANCHARI cannot guarantee specific bank-clearance settlement times.

4.Delayed or Missing Refunds

If your refund was approved but has not yet reflected in your bank statement after 7 working days, please follow this step-by-step resolution process:

Carefully check your bank or card account statement for the billing period corresponding to the refund approval notice.

Contact Bank / Card Issuer

Contact your bank or card provider with the refund transaction reference ID. Banking gateways occasionally take several business days to process settlements.

5.Unforeseen Circumstances & Force Majeure

5.1 Events Beyond Control: SANCHARI is not liable for delays, cancellations, or inability to provide scheduled services resulting from circumstances beyond reasonable control, including severe or unfavorable weather, natural calamities, landslides, heavy rainfall, sudden government restrictions, forest department directives, entry checkpoint bans, road closures, strikes, civil disturbances, epidemics, or other force majeure events.

5.2 Alternative Arrangements: In the event of such disruptions prior to trip departure, SANCHARI will make reasonable efforts to provide a feasible alternative itinerary, reschedule the trip, or offer a suitable voucher/solution depending on operational availability and local circumstances.

5.3 Refunds for Individual Activities: No monetary refund will generally be provided for individual itinerary activities or services (such as water sports, viewpoints, camping, or campfires) cancelled or modified during an ongoing trip due to sudden weather shifts, forest department safety closures, or external security advisories.

6.Itinerary Changes, Pickups & Transportation

6.1 Operational Route Changes: SANCHARI reserves the right to make reasonable alterations to itineraries, route sequences, scheduled pickup points, accommodation, or transportation when required by safety, road maintenance, or forest instructions. Minor schedule adjustments that do not materially alter the trip do not qualify for compensation.

6.2 Punctuality at Pickups: Participants are responsible for arriving at designated Bengaluru pickup points at least 15 minutes before the scheduled reporting time. Late arrivals resulting in a missed vehicle are entirely non-refundable and non-reschedulable. Catch-up transportation expenses are solely the traveler's responsibility.

6.3 Third-Party Transportation: While SANCHARI partners with certified and reliable transport operators, road congestion, toll delays, and mechanical contingencies can occur. SANCHARI will make all reasonable efforts to resolve on-road delays efficiently.

7.Misconduct & Environmental Responsibility

7.1 Participant Misconduct: Prohibited conduct includes harassment, physical altercation, verbal abuse, possession of illicit narcotics or weapons, consumption of alcohol during active trekking or inside protected wildlife sanctuaries, and repeated disruptive behavior. SANCHARI reserves the right to immediately terminate the participation of any individual engaging in prohibited behavior. In such cases, subject to applicable law, no refund will be provided, and the traveler will bear all costs for their return journey.

7.2 Environmental Responsibility: Travelers must adhere to Leave No Trace principles, avoid littering, respect local wildlife habitats, and comply with all forest department and community guidelines.

8.Promotional & Special Bookings

Bookings made under special promotional campaigns, discounted flash sales, group corporate offers, or customized private packages may carry distinct non-refundable terms or alternate cancellation deadlines. Where specific cancellation conditions are communicated at the time of booking, those conditions supersede standard terms for that reservation, subject to applicable law.

9.Claims & Service Inquiries

9.1 Immediate Notification: Any service difficulties or on-ground issues should be reported immediately to the SANCHARI trek coordinator or support team during the journey so corrective steps can be taken promptly.

9.2 Formal Claims Window: Any formal service claims or refund disputes must be submitted in writing to SANCHARI within 10 days from the completion of the relevant trip/service. Claims submitted after this 10-day period may not be considered, except where otherwise required by applicable law.

10.Acceptance of Policy

By confirming a booking with SANCHARI, the customer acknowledges that they have read, understood, and agreed to all applicable booking, cancellation, refund, safety, and service policies outlined herein.
